REQUEST SERVICE

The Laboratory of Archaeometry and Physicochemical Measurements analyses a large number of samples each year from research projects, archaeological studies, and collaborations with public- and private-sector organisations. To organise the analyses efficiently and provide our collaborators with a faster service, it is important that basic information is supplied about the project and the analyses requested.

Whether this is a new collaboration or you have previously worked with the Laboratory, please submit a service request by completing the relevant form before the work begins.

The service request form is designed to collect the information required to evaluate the request, select the appropriate analytical techniques, and provide a reliable estimate of the cost and completion time.

Service Request Procedure

1. Service Request & Initial Contact

The first step is to submit a request for the service by completing the relevant Laboratory form.

We recommend contacting the Laboratory during the project-planning stage so that it can advise on:

  • the appropriate analytical methodology,
  • the indicative number of samples, where applicable,
  • the appropriate type and required preparation of the material,
  • and whether sampling by the Laboratory is required.

When sampling is required, the Laboratory can undertake its design and implementation, ensuring that the procedure is conducted correctly and that the samples are suitable for analysis.

This ensures the most appropriate scientific approach and the efficient implementation of the study.

2. Request Evaluation

The Laboratory reviews the information submitted and, where necessary, contacts the applicant for clarification or additional information. At this stage, alternative techniques or adjustments to the analytical plan may be proposed.

3. Quotation & Timeline

Following the evaluation, the applicant receives:

  • an indicative or detailed quotation,
  • an estimated completion time,
  • and any special requirements or conditions.

Please note that a minimum charge may apply per service or project.

4. Acceptance & Service Agreement

Once the quotation has been accepted:

  • the service order is confirmed; and
  • where required, a relevant agreement is signed.
5. Preparation & Delivery of the Service

In consultation with the Laboratory:

  • the technical details are defined,
  • where required, sampling and/or the shipment or delivery of samples to the Laboratory is organised and carried out (see the Sample Submission Procedure),
  • the analytical procedure is organised,
  • and measurements are performed in accordance with the agreed protocols.
6. Delivery of Results

The results are delivered to the applicant in the form of:

  • a technical report,
  • and supporting data, where applicable.

Sample Submission Procedure

1. Required Sample Quantity

A minimum quantity of material is required for the analyses. The quantity depends on the type of analysis and the nature of the sample. Applicants are informed of the relevant requirements during their initial communication with the Laboratory.

2. Sample Coding & Labelling

Each sample must have a unique identification code to ensure correct identification and traceability throughout the analytical process.

Samples should:

  • be packaged individually in suitable containers or bags,
  • bear clear and durable labels,
  • be accompanied by essential information, such as the sample code and material type.
3. Sample List

Each shipment must be accompanied by a detailed sample list containing:

  • the sample code,
  • the material type,
  • a brief description.

This list makes it possible to confirm that the shipment is complete and ensures that the samples are correctly registered by the Laboratory.

4. Supporting Project Information

To support the most appropriate evaluation and interpretation of the results, brief information should be provided regarding:

  • the project or research context,
  • the scientific questions,
  • the objectives of the analyses.
5. Cover Letter

The shipment must include a cover letter stating:

  • the total number of samples,
  • the analyses requested,
  • the sender’s contact details,
  • a brief description of the project objectives.

The letter enables the request to be handled more quickly and efficiently.

6. Sample Packaging

Samples must be packaged in a manner that ensures their integrity and safe transport.

  • Fragile objects should be protected with suitable packaging material.
  • Samples with sharp surfaces or fragments should be placed in double packaging.
  • A robust shipping box is recommended instead of an envelope.
7. Shipment & Notification of the Laboratory

After dispatch, the sender must notify the Laboratory by email and provide:

  • the sender’s details,
  • the courier company,
  • the tracking number,
  • the estimated delivery date.

This notification facilitates the timely receipt and registration of the samples.

8. Receipt & Suitability Check

Upon receipt, the Laboratory checks:

  • the condition of the samples,
  • the accuracy of the labelling,
  • the completeness of the accompanying information.

If any discrepancies or problems are identified, the sender is contacted promptly regarding the next steps.

9. Acceptance or Rejection of Samples

The Laboratory reserves the right to accept or reject samples that:

  • do not meet the technical specifications,
  • are not accompanied by the required information,
  • have been altered or damaged during transport.

In such cases, resubmission or an alternative approach may be proposed.

10. Safety & Special Categories of Samples

For potentially hazardous samples, such as toxic, biological, radioactive, or chemically reactive materials, the sender must inform the Laboratory in advance and follow the applicable safety and transport instructions.

The Laboratory may request additional information or impose specific conditions for the acceptance and handling of such samples.
